Scheduled payouts, early payouts and invoice upload

Schedule a payout for a later date, let creators claim it early for a discount, and see what your creators see with a self-billing invoice or with their own invoice.

A scheduled payout has a date. The creator can claim the payout from this date, not before. Use it for payment terms, for example 30 days after a campaign.

Two settings change what the creator sees:

  • Early payouts. The creator can claim before the date and gets the amount minus a discount.
  • Invoice upload. The creator can upload their own invoice instead of the self-billing invoice that Talentir creates.

Schedule a payout

Open Payouts and click Create Payout. Fill in the payout, click Schedule and choose a date, or a preset from 7 to 90 days. If you leave the date empty, the creator can claim the payout at once.

  • The earliest date is tomorrow. The date is a calendar date in UTC.
  • You can change the date only while the payout is not approved.
  • You cannot schedule an advance.

Turn on early payouts and invoice upload

Open Settings and go to Payout Configuration.

  • Early payouts. Set the Discount rate. Talentir deducts it from the payout amount when a creator claims early.
  • Invoice upload. Creators can upload their own invoice. Talentir reads it and checks it against the payout before they claim.

Both settings are plan features. If a setting shows Upgrade, click its switch to request the feature.

If invoice upload is off, Talentir always creates a self-billing invoice. If it is on, the creator chooses when they claim.

Before the date

The payout page shows the date. Without early payouts, the creator cannot claim yet.

With early payouts, the page shows the full amount, the discount and the amount the creator gets now. The creator can click Claim early, or wait until the date and get the full amount.

Who creates the invoice

If invoice upload is on, the first screen of the claim asks who creates the invoice.

  • Let Talentir create it. Talentir creates a self-billing invoice for the creator, with the correct VAT and all other details. This option is recommended.
  • Upload it yourself. The creator uploads an invoice from their own system. Talentir reads it and checks the net amount (to the cent), the VAT, the addresses, the invoice number and the date. If a check fails, the creator cannot claim. They upload a corrected invoice, or they choose the self-billing invoice.

For an early payout, the uploaded invoice must show the reduced amount as the net amount. Talentir rejects an invoice for the full amount. If a creator uploads an invoice for the reduced amount and then waits until the date, they must upload a new invoice for the full amount.

Emails to the creator

  • The approval alone sends no email. The creator gets the first email when you click Send claim link. Talentir sends it at once: one email for each payout, and a text message if the payout has a phone number.
  • For a scheduled payout, this email shows the date. With early payouts, it also shows the amount that the creator can get now.
  • On the date, the creator gets a second email that the payout is ready. Talentir sends this email only if you sent the claim link before the date.
  • If the payout is still open 7 days after the last email, Talentir sends one reminder.

Rules for early payouts

  • The discount is a fixed percentage. It does not change with the number of days before the date.
  • The discount stays with you: your balance pays only the reduced amount.
  • A creator claims an early payout on its own, not together with other payouts.
  • Only the payouts that you create can be claimed early. An advance always waits for its date.
  • The offer shows only when your balance can pay the payout now, in addition to all payouts that are already due. If it cannot, the creator only sees the date. Talentir checks your balance again when the creator claims.

Your balance and expiry

  • A scheduled payout counts against your balance from its date. Before the date, it does not block other approvals.
  • If your balance will not be enough on the date, Talentir reminds the owners and admins of your team 14, 7, 3 and 1 days before the date, and on the date.
  • If you use payout expiry, a scheduled payout never expires before its date. The expiry days start on the date at the earliest.
  • If you pay a payout directly to a counterparty, Talentir pays a scheduled payout on its date, to the details saved for the counterparty. There is no early payout in this case.
